Job Description:

Marketing Operations & Automation Lead
Reports to: Founder / Managing Director
Location: Remote
Role type: Full-time

About the Role:

Our client is a B2B marketing agency working with SaaS, software and specialist B2B companies. We are looking for an experienced Marketing Operations & Automation Lead to take ownership of the technical infrastructure behind our outbound and demand generation campaigns. This is not a sales or commercial lead-generation role. Your responsibility is to make sure the systems behind our campaigns work properly — from prospect data and outbound infrastructure through marketing automation, CRM integration, lead routing and tracking. We already have much of this infrastructure in place. We are looking for someone with the experience to own it, improve it and introduce better ways of working, rather than someone who needs detailed instruction on how to build it.

What You'll Own:

Prospect Data & Enrichment

  • Build, clean, enrich and segment B2B prospect databases
  • Work with platforms such as Apollo, Clay and similar data tools
  • Maintain database hygiene, deduplication, suppression and segmentation
  • Operate and develop existing processes for website/company classification
  • Maintain accurate data flow between prospecting, marketing and CRM platforms

Outbound Infrastructure

  • Build and maintain outbound email infrastructure using Instantly or similar platforms
  • Configure sending domains and mailboxes
  • Manage DNS, SPF, DKIM and DMARC
  • Configure tracking domains and related infrastructure
  • Manage warming, deliverability and sending health
  • Diagnose and resolve technical sending issues

Marketing Automation & Integrations

  • Build and maintain workflows in Make.com or comparable automation platforms
  • Work confidently with webhooks, APIs, JSON, filters, routers and data mapping
  • Integrate marketing platforms, CRMs, forms, booking tools and outreach systems
  • Build lead routing, notification and suppression logic
  • Troubleshoot failed workflows and integration issues independently
  • Test automation thoroughly before deployment

CRM & Marketing Systems

  • Help structure and maintain our internal and client CRM environments
  • Manage fields, tags, segmentation, lifecycle stages and lead-routing logic
  • Build and maintain marketing automation in platforms such as ActiveCampaign and HubSpot
  • Maintain reliable CRM handoff between marketing and sales activity
  • Improve data quality and consistency across systems

Documentation & SOPs

  • Create and maintain clear SOPs for key marketing operations processes and automations
  • Keep accurate, up-to-date records of how live workflows, integrations, fields, tags, webhooks, APIs and CRM handoffs are configured
  • Document key dependencies, testing steps and known failure points
  • Ensure important processes can be understood, maintained and recovered by someone else if required
  • Update documentation whenever live systems or automation logic changes

Tracking & Reporting

  • Understand and implement campaign and conversion tracking across GA4, GTM, LinkedIn, Meta and other platforms
  • Maintain appropriate UTM and tracking standards
  • Diagnose tracking and attribution issues
  • Ideally, build and maintain AgencyAnalytics integrations and client dashboards

What We're Looking For:

This is a hands-on technical role. We are looking for someone who has personally built and managed marketing automation systems, not simply worked alongside them.

Essential:
Strong practical experience with:

  • Make.com or an equivalent automation platform
  • Webhooks and API integrations
  • CRM architecture and marketing automation
  • ActiveCampaign, HubSpot or comparable platforms
  • Instantly, Smartlead or similar outbound platforms
  • Apollo, Clay or comparable prospecting/enrichment tools
  • B2B prospect data management and segmentation
  • Lead routing, suppression and workflow logic
  • Email infrastructure and deliverability
  • DNS, SPF, DKIM and DMARC
  • Automation testing and troubleshooting
  • Strong process documentation and SOP discipline, with the ability to keep technical records current as systems evolve

You should be confident looking at an existing system, understanding how the components connect and independently diagnosing where something has gone wrong.Useful Additional ExperienceAny of the following would be valuable:

  • Python used for data processing, crawling or enrichment
  • Google Tag Manager and GA4
  • LinkedIn and Meta conversion tracking
  • AgencyAnalytics
  • Dynamics, Pipedrive or other CRM platforms
  • LinkedIn outreach automation tools
  • B2B SaaS or agency environments

What Success Looks Like:

  • Campaign infrastructure runs reliably without constant founder involvement
  • Prospect and CRM data remains clean and structured
  • Automations and integrations are properly tested and dependable
  • Outbound infrastructure remains healthy and scalable
  • Leads and intent signals reach the correct systems and people
  • Technical problems are identified and resolved independently
  • Processes become increasingly standardised, documented and repeatable
  • You actively identify better ways to structure and manage our marketing technology
