Role summary
The client is a UK recruitment and strategic operations practice. They place senior and operational leadership, on an interim and a permanent basis, into businesses backed by private equity firms and lenders: chief executives and managing directors, and the operational C-suite alongside them in finance, operations, commercial and human resources. Alongside that, they provide board-level and advisory support to the same market.
Over the past two months, they have built a commercial system that finds the right people, runs outreach to them, captures their responses and keeps the records straight. It works. What it does not have is anyone whose job it is to run it. That is this role.
The Commercial Operations Executive owns the day-to-day operation of that system: the database, the campaigns, the data quality, the exceptions and the reporting. When a recruitment assignment is live, the role also supports delivery with research and administration. The purpose of the job is a steady flow of qualified conversations into the diary of the Managing Partner, and a system that stays healthy while that happens.
Scope of work and key responsibilities
Database growth and integrity
- Build and maintain the target audiences the outreach runs against, using the prospecting and enrichment tools in the stack.
- Enrich incomplete records, remove duplicates and competitors, and keep the data good enough to send from.
- Keep supply ahead of demand, so no campaign ever runs out of people to contact.
- Validate email addresses before use and act on bounces.
Campaign execution and scheduling
- Take a commercial brief from the Managing Partner and turn it into a live campaign: audience, sequence, message, schedule, checks.
- Load and pace the daily outreach across LinkedIn and email, respecting sending limits and deliverability.
- Quality check every campaign before it goes out. Nothing leaves the building unread.
- Run the message testing framework: one change at a time, measured in blocks, results written up.
Operational health of the system
- Work the daily exception queue: records in the wrong stage, missing fields, failed writes, unactioned replies.
- Monitor the automation platform and investigate anything that has stopped, slowed or silently failed.
- Make sure every reply reaches a human quickly. A reply that nobody sees is the most expensive failure this business has.
- Perform straightforward changes and configuration. Complex integration work may be commissioned from a specialist, with this role as the internal owner who briefs them and tests the result.
- Document what you build and what you fix, so the next person does not start from nothing.
Measurement and reporting
- Report weekly on outreach volume, replies, conversion, data quality and system health.
- Investigate movement in the numbers rather than only presenting it. A response rate that halves is a question, not a line on a page.
- Take on paid search once search volume justifies it. This will start small and may grow.
Recruitment delivery support
- When an assignment is live, support the recruitment lead with candidate research, longlisting, CV formatting, interview scheduling and record keeping on the assignment.
- General research and administrative support to the Managing Partner and the recruitment lead when either is at capacity.
- Candidate assessment, shortlist judgement and client contact stay with the recruitment lead and the Managing Partner.
Requirements
The most important thing we are looking for
Someone who thinks. The tools in the stack will change; the mindset that exploits the change is what has value.
We want the person whose instinct, on finding they spend two hours a week checking records by hand, is to ask why it is being done by hand at all, and then to do something about it. Someone who sees an automation fail and wants to know the cause rather than just repeating the step. Someone who notices that forty-seven records entered the wrong stage and fixes the process, not only the records. Someone who writes down the answer once they have found it.
That person tends to automate themselves out of their own routine work and then look for the next thing worth doing. In a small business, that is worth more than experience with any particular platform.
Skills and competencies
- Confident with CRM and sales or marketing automation platforms: configuring them, not only using them.
- Comfortable with data: cleaning it, segmenting it, spotting when it is wrong.
- Able to build and run outbound campaigns end to end.
- Practical use of AI tools in day to day work, beyond asking a chatbot occasional questions.
- Clear written English, to a standard suitable for correspondence with senior UK executives.
- Accurate. This role holds the record the whole business relies on.
- Able to work independently, set your own priorities and raise problems early.
Experience and background
- Three to six years in revenue operations, sales operations, marketing operations or CRM administration, in a commercial rather than a technical support setting.
- Hands-on experience of a CRM, an outreach or email automation platform, and a data enrichment or prospecting tool. The specific products matter less than having genuinely operated them.
- Experience of a workflow automation platform is a strong advantage.
- Recruitment or professional services experience is useful and not essential. We would take a strong operations person who can learn recruitment over a recruiter who does not enjoy systems.
- Experience of working remotely with a UK or international team.
